Terms & Conditions

1. Definitions

In these Terms and Conditions, the following terms have the meanings set out below:

2. Acceptance of Terms

By using our website or enrolling in a Programme, you confirm that you have read, understood, and agree to be bound by these Terms and Conditions.

Our Programmes are intended for adults aged 18 years and above. By enquiring or enrolling, you confirm that you meet this requirement or, where you are making arrangements on behalf of another person (such as a parent), that the relevant participant is also 18 or above.

If you are entering into this Agreement on behalf of a Client Organisation, you confirm that you have the authority to bind that organisation to these terms.

3. Description of Programmes

Solvenna offers three distinct programmes:

  1. Retirement Records Organisation Workshop — a half-day group educational session (RM 520 per participant) covering document categories, filing structures, and self-completion checklists.
  2. Guided Document Inventory and Filing Support — a four-session one-to-one administrative engagement (RM 1,450) to build a personal document inventory and digital archive.
  3. Employer Retirement-Transition Briefing Programme — a business-to-business engagement (RM 4,500) including an HR needs review, two on-site briefing sessions, a customised employee handbook, and a six-month check-in.

All Programmes are delivered in English or Bahasa Malaysia as agreed at the time of booking. Programmes are currently available to participants based in or able to travel to Kuala Lumpur, or by online delivery where stated.

4. Nature of the Service — Important Limitation

All Solvenna Programmes are general education and administrative organisation services only. Nothing provided through any Programme constitutes:

Where a question arises during a Programme that falls outside general information, Participants will be directed to the appropriate public agency or a qualified professional. By enrolling in a Programme, you acknowledge and accept this scope.

5. Participant Responsibilities

Participants agree to:

Client Organisations additionally agree to make reasonable arrangements for on-site delivery (suitable room, equipment access, and adequate notice to employees).

6. Intellectual Property

All Content produced by Solvenna — including workshop materials, checklists, printed folder structures, employee handbooks, and manager toolkits — remains the intellectual property of Solvenna.

Participants and Client Organisations are granted a personal, non-exclusive, non-transferable licence to use Content for their own internal purposes. This licence does not permit:

Customised employer handbooks are produced for the Client Organisation's internal use and may be reproduced internally within that organisation only.

7. Payment Terms

All fees are quoted and payable in Malaysian Ringgit (RM). Current programme fees are:

Payment is due in full at the time of booking confirmation unless a payment arrangement has been agreed in writing. We accept payment by bank transfer. Details are provided in the booking confirmation.

Cancellation and Rescheduling

8. Programme-Specific Terms

Workshop

Minimum group size applies. Solvenna reserves the right to combine sessions or reschedule where minimum attendance is not reached. Participants are notified at least five working days in advance of any change.

One-to-One Support

Sessions are scheduled by mutual agreement. Documents shared during sessions are viewed under the Participant's control; Solvenna does not retain copies. The engagement is administrative only.

Employer Programme

The scope of the customised handbook is agreed during the initial HR needs review. Material changes to scope requested after production begins may attract an additional fee, agreed in writing before work proceeds. The six-month check-in is a single scheduled call of up to 60 minutes.

9. Disclaimers

Our Programmes and website are provided on an "as is" basis. While we take care to ensure the accuracy of general information included in our materials, we make no representation that information about official bodies, published channels, or document request procedures remains current at all times. Participants are advised to verify current procedures directly with the relevant agency.

Nothing in these Terms limits Solvenna's liability for death or personal injury caused by negligence, or for fraud or fraudulent misrepresentation.

10. Limitation of Liability

To the fullest extent permitted by Malaysian law, Solvenna's total liability to a Participant or Client Organisation in connection with any Programme shall not exceed the fees paid by that person or organisation for the Programme giving rise to the claim.

We shall not be liable for any indirect, consequential, or special loss, including loss of income or opportunity, arising from participation in a Programme or use of our website.

We are not liable for the accuracy of decisions made by Participants or Client Organisations on the basis of Programme content, as all Programmes are general education only and are not a substitute for qualified professional advice.

11. Indemnification

You agree to indemnify and hold harmless Solvenna and its staff against any claims, losses, or expenses (including reasonable legal fees) arising from your breach of these Terms, your misuse of Programme Content, or your misrepresentation of the nature of Solvenna's services to any third party.

12. Termination

Either party may terminate a Programme engagement by giving reasonable written notice. Where a Participant or Client Organisation terminates after commencement, the cancellation policy in Section 7 applies.

Solvenna may terminate access to a Programme without refund if a Participant behaves in a manner that disrupts the session or causes distress to other participants or staff.

13. Governing Law and Dispute Resolution

These Terms are governed by and construed in accordance with the laws of Malaysia. Any dispute arising from or in connection with these Terms shall first be referred to informal resolution by written communication to [email protected].

If informal resolution is not achieved within 30 days, the dispute shall be subject to the non-exclusive jurisdiction of the courts of Malaysia, with Kuala Lumpur as the agreed venue.

We may update these Terms from time to time. The revised version will be posted on this page with a new Last Updated date. Where changes are material, we will take reasonable steps to notify current programme enrolees.

Continued use of our website or participation in a Programme after a change is posted constitutes acceptance of the updated Terms.
